Job Description

Discretionary Client Services Administrator within Asset Management My client would ideally be looking for either someone who has retail high street bank experience or asset management client services experience.


The Client Service Team is responsible for all aspects of our administrative relationship with clients and potential clients. The department always aims to provide the highest level of service. The role requires excellent product and system knowledge ensuring all activities are conducted in accordance with Compliance and departmental procedures.


  • Written and verbal Communication skills
  • Maintain knowledge of the firms products
  • An ability to effectively communicate with and engage the representatives of charitable investors
  • Working knowledge of the characteristics of the major asset classes and their appropriateness to the various circumstances of investors
  • A working knowledge of current charity and trustee law and the understanding of and empathy with the sector


  • The primary duty is to ensure we provide a high standard of service to clients and potential clients

Discretionary Client administration– Maintaining an up to date record of all Discretionary client details and a record of the authorisation of all amendments:

  • Investment Management Agreement
  • Investment objectives and risk appetite
  • Asset allocation limits and restrictions
  • Ethical investment restrictions
  • Allocated Fund Manager
  • Evidence of suitability
  • Performance benchmark
  • Fees
  • E-mail indemnity
  • Other KYC information
  • Authorised signatories and correspondent details
  • Client communications including dispatch of client reports
  • Answering client queries
  • Queries from the client’s Consultants
  • Queries from the client’s Auditors
  • Queries from Investment and Client Relationship Team
  • Monitoring client transactions and income to ensure accuracy of records and instruct internally the new money process and withdrawals.
  • Instruct the remittance of income and capital repayments to the clients monthly and quarterly
  • Send required number of reports to clients (monthly and quarterly)
  • Producing regular valuations for clients.
  • Send segregated management information (monthly)
  • Annual Suitability Reports

Suspicious Activity Monitoring

  • Prepare monthly reports of potential suspicious activity
  • Ongoing suspicious activity monitoring

General Client Services Duties

  • Answering all client telephone enquiries effectively and promptly
  • Meeting and assisting visiting clients and potential clients
  • Ensure that clear instructions are obtained from clients where doubt exists
  • Diarising and chasing correspondence to which a reply is required
  • Checking standard letters for appropriateness and accuracy (and issuing)
  • Dictation of ‘non-standard’ letters
  • Maintain effective liaison with TAG
  • Verify signatories of instructions over a specified value
  • Tracing and dealing with ‘lost’ client payments
  • Tracing and dealing with ‘lost’ client correspondence
  • Chasing unpresented cheques
  • Prepare Complaints Errors and queries for events originating within the team
  • Assist with Data Cleanse projects
